Everything you need to get started and make the most of Wrencher.

Download the installer from the link above. Run WrencherSetup.exe and follow the prompts. Windows may show a SmartScreen warning — click "More info" then "Run anyway". This is normal for new software.
On first launch, Wrencher creates a fresh database on your computer at %APPDATA%\Wrencher\wrencher.db. Go to Settings first and fill in your business details — these appear on all your PDFs.
The typical Wrencher workflow follows this path: add a Client → create a Job → send a Quote → raise a Change Order if scope changes → create an Invoice → record Payment.
Add your business name, address, phone, email, and website. These appear on every PDF you generate. Upload your logo (PNG recommended, under 2MB).
Set your tax name (VAT, GST, Tax, etc.) and rate. Enable or disable tax globally. Tax is applied to all new quotes and invoices at the rate set here.
Set prefixes for quote numbers (QTE), invoice numbers (INV), job numbers (JOB), and change orders (CO). Numbers increment automatically.
Add your standard items and rates to the price book. When creating line items on quotes or invoices, start typing to autocomplete from your price book, or use the price book picker button.
Add custom item types (Labour, Material, Travel, etc.) and units (hr, each, m², load) in Settings. These appear in the line item dropdowns on all quotes and invoices.
Set your mileage rate (e.g. 0.45 per mile) and whether you track miles or kilometres.
Configure your email settings to send quotes and invoices directly from the app. Enter your SMTP server, port, username, and app password. See the email setup guide if you need help with Gmail, Outlook, or other providers.
Add clients with their name, contact details, and billing address. Client details appear automatically on quotes and invoices. You can add a new client directly from the quote or invoice form without leaving it.
Each client has a detail view showing all their linked jobs, quotes, and invoices in one place.
Create a job for each piece of work. Assign it a client, status, priority, type, start and end dates, and site address. Jobs move through statuses: Enquiry → Quoted → In Progress → Complete.
The dashboard shows attention cards for jobs that need action — jobs with no start date, jobs where the start date has passed, jobs that are complete but not yet invoiced, and more.
Attach photos to a job from the job detail view. Useful for before/after documentation and for keeping records alongside the paperwork.
Use the From/To date filter on the Jobs page to view jobs starting within a specific period. Click ✕ to clear the filter.
A standard quote with one set of prices. Add line items manually or from your price book. Set a deposit amount (percentage or fixed). Set an expiry date. Generate a PDF and send it from the app.
Present the client with 2 or 3 pricing options (Option A, B, C) in one document. Each option has its own line items and total. The client picks one. When they accept, the other options are automatically declined. Create an invoice from the accepted option in one click.
If a quote is not linked to a job, you can add a subject/title (e.g. "Bathroom renovation") which appears in the quote list and on the invoice created from it.
Once a quote is accepted, go to Invoices → New Invoice → From accepted quote. Select the quote. Line items, tax, and deposit are copied automatically.
Open an invoice detail and click Record Payment. Enter the amount received. The balance updates automatically. Multiple payments are supported for staged or partial payments.
Add a percentage or fixed discount when creating or editing an invoice. The discount is shown on the invoice detail and PDF.
When the scope of a job changes after the original quote is accepted, raise a change order. Add the extra line items and send the change order PDF to the client for approval.
Set the status to Approved once the client agrees. When you create an invoice from the original quote, all approved change orders are automatically included with a reference note.
The dashboard shows a card when change orders have been pending for more than 7 days.
Log every trip to site and Wrencher calculates the value at your configured rate. Link trips to jobs for a full record. At the end of the tax year, export a CSV and hand it to your accountant.
The mileage page shows this month, this year, and all-time totals. Use the date filter to view a specific period.
The calendar shows all your jobs with start and end dates as bars across the week or month. Jobs with no start date appear in the undated strip above the calendar — click the calendar icon on any job bar to reschedule it.
Use the Week view for day-to-day planning and the Month view for a broader overview.
After purchasing, you will receive a license key by email. Open Wrencher, go to Settings → License, paste your key, and click Activate. The app will verify the key and unlock fully.
Each license allows activation on 2 computers. If you need to transfer your license to a new machine, email hello@wrencher.app.
The 30-day trial starts from the first time you launch Wrencher. All features are fully available during the trial. When the trial ends, purchase a license from Settings → License to continue.
